Official Trip and Activity Guidelines

This document describes the requirements of an official activity of the Melbourne University Mountaineering Club.

Requirements of Trips

In general, a sporting trip or activity shall be considered an official trip of the MUMC if at the time of commencement

  1. The trip has been advertised openly
Advertising must be through the club website, or a whole of club (or sport specific i.e. open opt-in list of MUMC climbers) mail or email, or via an announcement at a regular club Tuesday night meeting, and
  2. The trip and its participants are registered with the club
Registered either through the club’s online signup system, or on a Club Trip Sheet (available from the club) that has been sighted and approved by the appropriate convenor, or directly with the trip leader, and
  3. The leader/s of the trip are recognised by the relevant convenor as leaders in the sport which they are undertaking on the trip
Leaders must be approved leaders (by the relevant convenor) of the sport which is to be undertaken on the trip and not have been restricted from leading the trip by an action of the Club Committee, and
  4. All participants on the trip are members of the MUMC
Or in the case of a trip coordinated with another organisation, that organisation has equivalent liability insurance for its participating members and assumes all associated responsibility for them including ensuring the provision of such insurance; and
  5. All members who meet the required or pre-requisite skill level to undertake the trip and who wish to attend are facilitated to do so in so far as is practicable
There are no “private” club trips. If a member has the pre-requisite skill/experience level required to attend the trip and contacts the leader of the trip in a timely fashion (by the cut-off date listed on the trip sheet or website) that person is facilitated to attend.

The status of a sporting trip or activity shall not be affected by

  • the presence or use of any club gear, or
  • the provision of advice or support by the club or its members to the participants in the activity.

The status of an official club activity remains in place for the duration of the trip as recorded by the club.

Requirements of Events

In contrast to trips organised by the club, events shall be considered official activities of the MUMC when they are organised with the knowledge and consent of a majority of the club committee, and conducted in accordance with any relevant club policies.
